Holiday Camp Program Terms and Conditions
Welcome to our Holiday Camp Program! These Terms and Conditions outline the rules and regulations for participation in our program. By booking or purchasing a program, you agree to comply with these Terms and Conditions.
- Payment & Security
- Payments for the Holiday Camp Program are processed through third-party services such as Stripe and Shopify. These third parties have their own Terms and Conditions. By Using our booking platform, you are agreeing to these third parties own Terms and Conditions.
- We do our best to ensure that payments are safe and secure, but we are not responsible for any issues that arise directly from the third-party payment processors. Please refer to their policies for more information.
- Personal Information Collection & Storage
- We collect personal information such as your name, email, phone number, and address for operational reasons. This information may be stored digitally or, in some cases, in paper form.
- We also collect your child’s information, including name, date of birth, address, and relevant medical and dietary information, in order to provide our services. This data is kept confidential, securely stored, and used strictly for operational purposes. It will be destroyed when no longer required.
- By booking a program, you consent to the collection and use of this information for the purposes outlined above.
- Accuracy of Information
- You are responsible for providing accurate and truthful information. If any information provided is found to be false or misleading, your participation may be forfeited, and you may lose the right to a refund.
- Any changes to your personal or your child’s information must be communicated to us as soon as possible.
- We are not liable for any negative outcomes or incidents that occur as a result of inaccurate or misleading information provided by you.
- Booking & Eligibility
- Only the legal parent or guardian of a child may book the Holiday Camp Program. You cannot book for another person’s child without express legal authority.
- All program bookings require full payment at the time of purchase. Payments are non-refundable except as specified in the cancellation policy below.
- Cancellation Policy
- More than 10 weeks before the program: Cancellations or changes are subject to a $50 administration fee.
- 6-10 weeks before the program: Cancellations or changes are subject to an administration fee equivalent to 30% of the program cost.
- 4-6 weeks before the program: Cancellations or changes are subject to an administration fee equivalent to 50% of the program cost.
- Within 4 weeks of the program commencement: No refunds or credit transfers are available for any reason.
- All cancellations or changes must be made in writing and emailed to mary@awwa.au.
- Behavioural Expectations:
- We expect all participants to behave respectfully and safely. Unacceptable behaviour, such as rudeness, dangerous actions, bullying, or abuse, will result in immediate removal from the camp. In such cases, parents/guardians are required to promptly pick up their child from the camp location. No refunds will be provided in these instances.
- Mobile Phone Policy:
- Mobile phones are not permitted on camp. If a student brings a phone, it will be securely held by staff for the camp duration and returned at the end. If a mobile phone is required by a participant for medical reasons ie: monitoring blood sugar, the phone can be held and used for this reason alone.
- Liability Waiver
- By participating in the Holiday Camp Program, I (as the participant and, if applicable, the parent/guardian of a child) understand that the activities may involve physical exertion such as running, jumping, and being in a bush environment, which inherently involves some risk.
- I acknowledge that while every reasonable effort will be made to minimize exposure to risk, it is not possible to foresee or control all hazards associated with these activities. I accept responsibility for understanding these risks and participating voluntarily.
- I understand that the camp will be held in a natural bush setting, and while measures will be taken to ensure safety, there is always the possibility of sickness or injury. In case of a serious medical emergency, trained first-aid staff will be on site, and an evacuation procedure will be in place to transfer the affected participant to the nearest hospital.
- In the event that an ambulance or extra medical services are required, any associated fees will be the responsibility of the participant (or the parent/guardian).
- Photo and Video Release
- During the Holiday Camp Program, photos and videos may be taken of participants for the purpose of promoting and documenting the program. These images and videos may be used in promotional materials, including but not limited to social media, websites, brochures, and other marketing efforts.
- By enrolling in the program, you grant us permission to take and use these photos and videos for promotional purposes without compensation.
- If you wish to withdraw permission for the use of your childโs photos or videos, please contact us at admin@awwa.au. We will ensure that your request is honoured moving forward.
- Changes to the Program
- We reserve the right to modify or cancel any program at any time due to unforeseen circumstances, safety concerns, or lack of participation. In the event of a program cancellation, you will be notified promptly, and appropriate arrangements, such as refunds or transfers to other programs, will be offered.
- Right to Cancel a Booking
Adventure Works reserves the right to cancel any booking at our sole discretion. This decision may be made in circumstances including, but not limited to:
- Safety concerns
- Unforeseen circumstances such as severe weather, low registration numbers, or operational issues
- Misconduct or failure to comply with program requirements or terms by a participant or their guardian
In the event of a cancellation initiated by Adventure Works, appropriate refunds will be issued at our discretion, based on the specific circumstances of the cancellation. Refunds will not apply where a participant has breached our terms and conditions or engaged in behaviour that necessitates their removal from the program.
- Amendments
- We reserve the right to amend these Terms and Conditions at any time. It is your responsibility to review these Terms and Conditions prior to making a booking or participating in the program.
